# Paul Planning

Canonical: https://www.softwareadvice.co.nz/software/559778/Paul

> Paul is the solution that helps companies stop running their field teams on spreadsheets. It brings scheduling, time tracking, leave, payroll preparation, HR, health and safety, equipment and client follow-up into one place, designed for staff who work on customer sites rather than in an office.

Managers plan site by site. A shift can be created for a whole team and over several dates at once, and duplicated in a few clicks. The estimated labour cost shows as the week takes shape, and each site can carry a monthly budget in hours. Publishing the schedule notifies each employee, and shifts nobody covers can be opened so the team volunteers.

Employees use their phone for everything: checking their shifts, clocking in and out, opening the site sheet with access codes and instructions, and sending their requests. Leave, overtime asked for before it is worked, salary advances and expense claims with a photo of the receipt all go through the app. A late arrival or an early departure asks for a reason that managers validate, and they can restore the scheduled time when the gap counts as working time. Paul keeps working without a signal and syncs when the connection returns, in the browser and as an app on iPhone and Android.

At month end, clocked hours become a timesheet per employee, with variance against the plan, night hours, public holidays, meal allowances set per site and paid travel time already calculated. One click sends the summary to your payroll provider, or produces a file in the Silae import format. Leave balances and time off in lieu stay up to date.

Subcontractors and temp workers appear on the same planning, so technicians know who they work with, and their cost shows per site.

Vehicles and equipment get their own records: assignment, monthly odometer readings with a photo, signed handover forms, service reminders and a history of who used what. Equipment is booked on each shift, double bookings are flagged, and a weekly equipment planning shows what is free, booked or out of service. QR labels let staff report a fault from the field.

An HR hub keeps what a company needs: employment contracts and amendments generated from your own templates and signed on the phone, the official staff register with every past contract, professional review deadlines with a report the employee signs in the app, medical visits and work permits with reminders before they expire, onboarding and offboarding checklists, HR indicators such as turnover and absenteeism, and an org chart.

Health, safety and environment are covered too. Employees report a hazard or a near miss in one tap with a photo, protective equipment is handed over against signature with sizes and renewals, a quality and safety dashboard follows your own targets, customer satisfaction surveys and complaints are tracked, and a waste register produces a yearly report per client. Lone worker monitoring is available.

Your clients can have their own portal with the schedule and documents of their sites, service slips signed on site, and the progress of the visits planned in their contract. Paul also prepares the advance notice letters to send before a contract renews automatically.

A training catalogue comes with it: twenty-four short modules followed from the phone, covering manual handling, fire and evacuation, road risk, welcoming people with disabilities and workplace English. Each ends with an assessment and issues a PDF certificate of completion. A short question at clock-in keeps key points fresh.

Paul also covers company news with photos and videos, team messaging where anyone can report a message or block a colleague, a document library, document signature, sites and staff exported to Excel, multi-branch companies and per-site profitability. It was built by a French services company for its own field teams before being opened to others, and the data is hosted in France.
