> Many PMOs run their portfolio without a real system of record. Projects live in spreadsheets, inboxes, and separate tools, so leaders make investment decisions on incomplete or stale information, and status often comes down to whoever raises it loudest rather than what the data actually shows. Key resources get pulled onto too many projects at once because no one can see demand against capacity across the whole portfolio, so conflicts surface only after a project has already slipped. When priorities shift, and they always do, reprioritizing the plan takes weeks of manual modeling instead of hours. And because every project manager runs their own process, cross-portfolio comparisons end up meaningless. The PMO spends its time assembling reports about the work rather than managing it.

Planview PPM Pro is cloud-based project portfolio management software built to solve these problems directly. It centralizes portfolios, resources, financials, and reporting for PMO teams, giving PMO leaders and resource managers a shared system of record, and supports waterfall and hybrid delivery with governance for work intake, financial tracking, and reporting.

The Resource Workbench addresses the over-allocation problem head-on: it gives resource managers a centralized, real-time view of demand versus capacity across all open projects, with Skills Profiles for matching resources to project requirements and capacity planning for both employees and contractors. Predictive Portfolio Analysis automatically identifies the highest-value project mix given current resource and budget constraints, and What-If Analysis lets teams manually model staffing and timing changes against available capacity before committing to them, cutting reprioritization from weeks to hours.

Configurable request forms and scoring models solve the inconsistent-process problem, routing new work through categorization, sizing, and approval, with distinct workflows, gate owners, and approval rules by request category. Approved requests automatically generate or update projects, so work always enters through a governed path rather than an inbox.

Financial management tracks budget, forecast, and actuals at the task, project, and portfolio level, including capitalization tracking for capex versus opex classification, replacing the politics-driven, gut-feel version of portfolio decisions with numbers everyone can see.

Reporting runs through PPM Pro's R2D2 engine, supporting Bubble, Pie, Spiderweb, Donut, Column, and List report types, configurable health indicators, and calculated fields that let teams derive custom metrics from existing project data for tailored KPIs without a new data model. Reports can be published, exported, and distributed on a recurring schedule, and Planview.Me widgets give stakeholders self-service access to timesheet approvals, request approvals, task views, and data visualizations without needing full application access, so the PMO stops being the one manually assembling every report.

PPM Pro also supports new product development portfolios, applying stage-gate workflows and scoring models to NPD pipelines the same way they apply to IT project intake. Anvi, Planview's AI capability, adds an Insights Widget for AI-powered portfolio health analysis and anomaly surfacing, with an Anvi Chat conversational interface available in early access for project queries and portfolio summaries.

PPM Pro connects natively with Planview AgilePlace and ProjectPlace for hybrid delivery teams, and integrates externally with Jira, Azure DevOps, and Cherwell. To help teams get to value quickly, PPM Pro is available with structured FastTrack implementation packages, ranging from a focused two-month configuration engagement to a broader four-month engagement, giving new customers a governed starting point without a full custom implementation.

## Reviews

### "Project Portfolio Management Software" — 4.0/5

> **Verified Reviewer** | *11 April 2019* | Management Consulting | Recommendation rating: 7.0/10
>
> **Pros**: 1) Ease of use (learning curve is not steep if you practice regularly)
2) Contains all the elements required to completely manage your portfolios (identification, prioritization, benefit assessment)
3) Good if you want to customize your project lists (or programs). The system gives you many field to add any project features you need. This is especially good if you want to create a portfolio framework at the enterprise level.
4) Very good reporting capabilities and easy to learn and use.
>
> **Cons**: The costing module requires a bit of knowledge. So before digging into this module spend time with your project costing team to learn the basics. Otherwise ensure to involve your Subject Matter Experts in project costing to set up this module.
>
> I am a consultant and I help organizations select Portfolio/Program/Project Management software. The range of projects that my client manage per year ranges from 60 project/year to 800 projects/year. The complexity of the project ranges from basic to very complex. I found Planview can adequately accommodate the range and complexity.

### "Innotas for Project and time tracking" — 3.0/5

> **Susan** | *24 February 2017* | Insurance | Recommendation rating: 5.0/10
>
> **Pros**: Look and feel
>
> **Cons**: Entering time, entering resources on project, adding documents and versioning those documents
>
> Innotas has made many improvements this last year which have been great bring the product into the 20th century. However they still have work to do. Adding documents to the project is cumbersome and time consuming. A drag and drop feature would be better and versioning is no longer available. The task enter has been modified but seeing the name of the task is to small they need to make it so you can resize the column. Entering resources on a project is time consuming as you need to enter in 2 places and then on each task. Over all the product is good but with further improvements it could be much better.

>
> **Cons**: A little time consuming when it comes to maintaing detailed information on specific tasks. I have to then maintain another task sheet in my local system to tally the details.
>
> The total segregation of the employees data is maintained along with their time management by HR team.

### "Managing Project and Application Portfolios Using The Cloud" — 5.0/5

> **Rakesh Sharma** | *11 February 2013*
