> PINS is self-service COI tracking software for organizations that manage vendor, subcontractor, and tenant insurance compliance in-house. It is built for teams that want to keep compliance decisions with their own staff while removing the manual work of chasing certificates, tracking expirations, and reviewing documents.

Who uses PINS

PINS is used by general contractors, public agencies, property managers, airports, and insurance agencies. It fits programs ranging from 100 to 10,000 active vendors per year. Teams typically come to PINS when spreadsheet tracking has become unmanageable, when compliance gaps are showing up in audits or claims, or when they want to bring COI management in-house rather than outsourcing it to a third party.

How PINS works

Teams set their insurance requirements once at the contract, project, or vendor level. Vendors and brokers submit certificates and endorsements through a secure upload link with no login required. The PINS AI Assistant reads each submission against the configured requirements and returns findings with evidence linked to the specific language in the document. Your team reviews the result and makes every final decision. Approvals, rejections, waivers, and exceptions are all logged automatically.

Key capabilities

AI-assisted endorsement review. Most COI tracking tools collect certificates and stop there. PINS reviews endorsement documents separately, checking for additional insured status, primary and non-contributory language, waiver of subrogation, and other contract-specific requirements. The AI returns findings with evidence. Your team makes the call.

Automated renewal tracking. PINS tracks expiration dates across every active vendor and project and sends renewal requests automatically ahead of expiration. Follow-up sequences run without staff intervention. Teams using PINS have reduced expired notice management from two days to five minutes.

No-login vendor submission. Vendors and brokers submit through a direct upload link. No account creation required. Lower friction means higher submission rates and less manual chasing.

Audit-ready compliance history. Every approval, waiver, and exception is logged with a timestamp and linked to the vendor record. When an auditor or project owner asks what was approved and when, the documentation is already in the system.

Native integrations. PINS integrates natively with Procore and Viewpoint Vista. Compliance status appears in Procore in real time and is written back into Vista for AP payment control workflows. An open API supports additional integrations.

US-based support. Support is staffed by full-time US-based product experts, not a general helpdesk or outsourced support team. The same implementation contact who manages your onboarding stays with your account after go-live.

How PINS differs from alternatives

PINS is self-service software, not a managed service. Some competitors handle document review and compliance decisions on your behalf. PINS gives your team the tools to do that work internally, with AI handling the document reading and your team handling the decisions. This matters for organizations that need accountability, audit defensibility, and direct control over compliance outcomes.

PINS is also built specifically for COI compliance. It is not a general vendor credentialing platform or a document storage system with COI features added on. Every part of the workflow, from endorsement review to renewal follow-up to exception documentation, is designed around the specific requirements of COI compliance programs.

## About the vendor

- **Company**: PINS
- **Founded**: 2000

## Commercial Context

- **Starting Price**: US$300.00
- **Pricing model**: Usage Based
- **Pricing Details**: PINS pricing is based on annual COI and contract volume. Teams choose a tier that fits the number of active vendor, subcontractor, or tenant records they manage each year. Volume-based pricing means smaller programs pay less and scale up as the program grows.

Every PINS subscription includes:

Certificate and endorsement collection. Vendors and brokers submit through a secure upload link with no login required. PINS tracks every submission and sends automated follow-up when documents are missing or non-compliant.

AI-assisted document review. The PINS AI Assistant reads submitted COIs and endorsements against your configured requirements and returns findings with evidence linked to the specific language in the document. Your team reviews every result and makes the final compliance decision. Nothing is auto-approved.

Renewal tracking and automated outreach. PINS tracks expiration dates across every active vendor and project and sends renewal requests automatically ahead of expiration. Follow-up sequences run without staff intervention.

Exception and waiver documentation. Every approval, rejection, waiver, and exception is logged with a timestamp and linked to the vendor record. When an auditor or project owner asks what was approved and when, the answer is already in the system.

Audit-ready reporting. Compliance status, history, and documentation are available for export at any time. Audit prep becomes a report pull rather than a search through email threads and shared drives.

Native integrations. PINS integrates natively with Procore and Viewpoint Vista at every subscription tier. For Procore, commitments flow into PINS, compliance status appears in Procore in real time, and project managers get a direct link into PINS from their project view. For Vista, PINS supports AP vendor and subcontract workflows and writes compliance status back to vendor records. An open API is available for other integrations.

Implementation support. Every PINS subscription includes white-glove onboarding staffed by US-based product experts. A dedicated implementation contact manages your setup, builds out your requirements and workflows based on your existing contracts, and stays with your account after go-live. Ongoing support is handled by the same team.

PINS does not offer a free trial. Pricing is based on annual COI and contract volume. Contact PINS for a custom quote based on your program size and workflow requirements.

### "PINS Advantage is an amazing Product" — 5.0/5

> **Korbi** | *29 July 2026* | Construction | Recommendation rating: 10.0/10
>
> **Pros**: PINS Advantage has been a great solution for our team. The software is easy to use, and it has helped us streamline our daily workflows while keeping important information organized and accessible. The interface is intuitive, so new users can get up to speed quickly, and the features support our day-to-day operations without adding unnecessary complexity.

One of the things I appreciate most is the reliability of the system. It performs consistently, and the reporting features make it easy to find the information we need. On the occasions we've needed support, the customer service team has been responsive, knowledgeable, and genuinely helpful
>
> **Cons**: There is always room for small enhancements and additional customization options, but overall, the software has met our needs very well.
>
> Overall, PINS Advantage has been a valuable addition to our operations. I would recommend it to organizations looking for dependable software that improves productivity and simplifies day-to-day processes.

### "PINS is a Game Changer\!" — 5.0/5

> **Kelly** | *12 August 2026* | Civil Engineering | Recommendation rating: 10.0/10
>
> **Pros**: Automating the COI process and making sure we have the proper insurance from our subconsultants. It's easy to use and a great value for the money.
>
> **Cons**: That we didn't get PINS sooner - our fault - LOL. Honestly, we haven't come across anything to criticize or that we dislike about PINS.
>
> \[sensitive content hidden\] have been wonderful at helping us implement PINS. The product is easy to use. We love having the COI's automated. It's nice to see whether the COI meets our requirements at a glance. With PINS, we finally feel like we are getting control of our COI's.

### "PINS is helpful" — 3.0/5

> **Hilary** | *5 October 2022* | Construction | Recommendation rating: 7.0/10
>
> **Pros**: Document management and reminders work very well. Still learning all of the things we can do with the program, but overall, it works well.
>
> **Cons**: I am not sure if it is the agents or the software, but it seems as though many agents can't figure it out. We are constantly having to chase agents down for missing items and they can't figure out how to separate the documents into the right areas.

### "PINS Testimonial" — 5.0/5

> **Brittany** | *10 August 2026* | Education Management | Recommendation rating: 10.0/10
>
> **Pros**: PINS has been exactly the solution we needed for insurance verification and compliance tracking. After trying two other systems that did not meet our needs, we felt like we were without a workable solution until we found PINS.

PINS is reliable, efficient, and user-friendly. It has saved us valuable time, improved our workflow, and given us confidence that we finally have the right tool in place. The customer service has also been excellent: responsive, helpful, and committed to supporting our needs.
>
> **Cons**: There really has not been anything I have disliked about PINS. Our experience has been very positive, and the platform has met our needs in the areas that matter most to us.

### "Great Opportunity for Extreme Growth" — 4.0/5

> **Skip** | *10 October 2022* | Government Administration | Recommendation rating: 8.0/10
>
> **Pros**: The basic tracking is what is needed, and the price point is excellent for our volume of insureds being tracked. The customer service if also fantastic.
>
> **Cons**: Because we are still on the second version of Pins, we are still missing much needed improvements for efficiency and ease of use for admins, staff, and the insurance companies accessing the portal from their side. It is very cumbersome to navigate seamlessly. Contract tracking has potential to be great, but still missing what would make it fantastic. But, we will see what version 3.0 holds. Hopeful for sure.
>
> Been with Pins for over 6 years, and do love the flexibility shown to make this system work in a broader format than just insurance tracking only. The upgrades are slow to come about but at least the basics are easy enough to manage the day to day work to be done.
