### "Innovative products for use in different business processes" — 5.0/5

> **Luiz fernando** | *28 July 2026* | Financial Services | Recommendation rating: 9.0/10
>
> **Pros**: With M-Files, you can access your documents from anywhere. The user interface is also very intuitive and enjoyable to use. This tool can be particularly useful for smaller companies, as the initial packages are definitely affordable. Plus, it all runs on your own domain.
>
> **Cons**: The setup has been reported to be a bit tedious, but once you've setup your cloud, it's fun. Absolutely recommendable.
>
> We use documents for managing incoming invoices, contracts and customer files. Its user-friendly look and feel allow even non-technical users to complete their tasks efficiently and quickly.

### "Reliable and Efficient Document Management with Great Features." — 5.0/5

> **Tushar** | *15 September 2025* | Information Technology & Services | Recommendation rating: 9.0/10
>
> **Pros**: I preferred the most the efficiency with which M-Files manages documents by metadata rather than folders. This makes file searching and retrieving very rapid and precise. The spreadsheet functions that are automated like the version control and the workflows have assisted in streamlining processes and saved us time as well as the errors. Moreover, the user-friendly interface and the safe permissions allow easy and carefree collaboration in terms of the platform. With such features, our team has become significantly more productive and managed its data.
>
> **Cons**: The major limitation that I came across is that the learning curve may be very high to the new users, particularly on how to establish the workflows and also tagging metadata with the metadata tagging tool. Certain higher capabilities need further instructions or practice to use. In addition, its prices are also more expensive than other document management tools, which others may consider an issue when it comes to small groups or businesses with a tight budget. The experience could be even improved by several more tutorials or onboarding materials.
>
> I have had a pleasant experience with M-Files. It has largely enhanced the smooth running, organization, and teamwork of our group with documents. The automated workflows and metadata-based system have facilitated tasks to be more efficient and fast whereas the permission controls have been used to secure data. It may also require time before new users become accustomed to its advanced features and the pricing is a factor that is a little more expensive but the benefits in productivity and organization are far much better than these disadvantages. I would suggest it to the teams which require a stable and efficient document management system.

### "Not Google Compatible" — 3.0/5

> **Chris** | *10 February 2026* | Construction | Recommendation rating: 5.0/10
>
> **Pros**: Still provides an efficient and secure method to lock our documents and provide version control aligning with the ISO requirements
>
> **Cons**: We initially went with M-Files as they promised we could integrate their system with Google which our company is based on. They’ve never been able to fulfill that requirement resulting in us running two systems for documents
>
> It has potential if you are solely Windows based but not compatible with other cloud based systems. Works however leaves a lot to desire

### ""License expires: Never" — until you stop paying" — 1.0/5

> **Nicolas** | *10 March 2026* | Electrical/Electronic Manufacturing | Recommendation rating: 0.0/10
>
> **Pros**: The software itself worked well as a document management system for 12 years. The search functionality and metadata organisation were genuinely useful for managing business records.
>
> **Cons**: Our 2014 license explicitly stated "License expires: Never." After letting our subscription lapse (which we understood to cover support and updates only), we lost ALL access to our vault — our own data, on our own on-premises server.
M-Files' solution was to use 2014-era software with our perpetual license. The problem: every update over 12 years prompted us to upgrade the vault structure, warning that "some features may not work" if we declined. Now 2014 software can't read our upgraded vault. This appears to be by design.
When we raised this with their Australian partner Storata, we were threatened with "equal and aggressive force" for considering negative reviews.
>
> We were loyal customers for 12 years. We purchased what we believed was a perpetual license — the certificate explicitly stated "License expires: Never."
After deciding not to renew our annual subscription, we discovered our data was completely inaccessible. M-Files' position is that we can use our old perpetual license key with software from 2014 — but after 12 years of automatic updates that upgraded our vault structure, that software cannot read our current data.
This is a catch-22 built into the system: automatic updates prompt vault upgrades, which makes old software incompatible, which forces ongoing subscriptions to access your own data. Our business records are effectively held hostage.

### "M-Files- Great for Document Management" — 4.0/5

> **Muhammad Zohaib** | *23 September 2026* | Construction | Recommendation rating: 9.0/10
>
> **Pros**: M-Files offers good value for money by helping businesses organize documents, tasks, and workflows in one place. Its user-friendly interface supports smooth collaboration, while workflow management helps teams automate and track daily processes. Task management features make it easier to assign and monitor work across teams. Although occasional bugs or technical issues may occur, responsive customer support can help resolve common problems efficiently.
>
> **Cons**: M-Files is little expensive for smaller businesses, especially when advanced features are needed. Some users will feel the initial setup and workflow configuration complicated, while occasional bugs or performance issues affect productivity.
>
> My overall experience is good with M-Files. I have used it for documents management, workflow management, tasks management and many other things.
