TOTAL LACK OF CUSTOMER SERVICE...
INCONSITANCY with the App. not only with loading time but can't log in several times a month for a week or so then "magically" we can log in (what the heck?? !!!)

When it works, it's fine BUT when it doesn't load it's a damn Nigh mare burning Executive TIME and we alll know Time is Money.
Not having a Live Body Customer Service Dept. in an insult from any service provider to their customers.
Cons
When I or my staff can't log in on our cell or desktop, we cannot solve even with resetting the password which an inconvenience. 2nd Google's Vcita's 800 & 855#'s for Customer Service DO NOT WORK and there is no other way to contact them except for AI bot questions with standard answers that do not help THUS TOTAL LACK OF CUSTOMER SERVICE which in this day and age is frankly pathetic.
Plenty of similar services out there and exercise caution if you are considering Vcita.

Very good. I have been using it for one year, and now I have more clients, and my system works.

Vcita is THE BEST!!
Overall, vcita has been a huge help to my business. I can easily add, change and remove appointments. I can be in touch with clients, and they can easily reach me. That is so important to my business.
Pros
I love the calander and the fact that reminders go out to patients automatically once tgeir appointment is in the calander. I also like the email feature that allows me to stay in touch with my patients. Lastly, I receive messages fron new and existing patients immediately, which allows me to respond to right away.
Cons
Occasionally, a patient will try to cancel an appointment through the app and I overall, vcita will not get the message.

Vcita awesomeness
Really good, they are brilliant at helping you to set up and get going, as well as allowing you to personalise your site. Vcita works really well with my website, which gives me peace of mind. I have been complimented on it several times, as well as referring a few friends of mine to vcita.
Pros
Its easy to use once you know how. I love the fact that new clients and appointments go straight to the app on my phone. I use the computer version to make any edits. Its a great way of personalising a payment website to your phone. I wish my app would keep me logged in all the time, sometimes I have to wait for an email before I realise I have a notification on the app.
Cons
-Its quite expensive, and once you have upgraded our plan, you can't go back to a simpler plan.
- If you want to add a staff member onto it its extremely expensive. I currently use it just for myself, but if I wanted to add someone , I would probably have to use a different company.
-Its also very American! which I find sometimes very difficult to deal with, acronyms and wording is sometimes confusing.
-I wish my app would keep me logged in all the time, sometimes I have to wait for an email before I realise I have a notification on the app.
-Additionally some features are over complicated for what they do, sometimes simplicity is key!! Its very easy to overcomplicate things, therefore if Vcita was a bit more minimalist it would rank even higher that I already perceive it.

One of the Worst Customer Service Experiences I've Ever Had
I looked into this app for the scheduling feature and after being contacted by a representative I was offered a free trial of the premium account. After realizing that it was not what I needed I decided that I was not going to use the service. I went to cancel my trial on the day it ended and to my surprise I had already been charged for an ENTIRE YEAR!! I immediately canceled the service and contacted the representative. I was told that they would not refund my money and there was nothing they could do about it. I contacted the CEO and have yet to hear back from him. The only recourse I have left apparently is to contact my credit card company and dispute the charge. I is without a doubt one of the worst customer service experiences I've had with a company. Save your money and refuse any free trials, just use the free version.

2.You were given an extended 30-day free trial by your account manager, twice as long than our standard 14-day trial period.
3. As part of our service, we offer free installation and customization assistance for all Ultimate Annual subscribers.
You received a full 30 minute training session with our customer success representative before your trial ended, and you installed our solution to your website.
4. As a courtesy reminder, we email all customers a few days before their trial ends. I personally verified that an email was sent to you notifying you that your trial was expiring.

Great service, hugely helpful for coaching and case management
I have been doing life coaching and small business consulting and am about to start doing mental health case management. I just got my LLC and am doing everything by myself. It's a lot of work, but companies like vCita, that do a few things really well, have been making it possible for me to put my business together. I have been extremely concerned for the confidentiality of my client information (who wants to be hacked, really?), but I have also needed to make sure I can get paid beforehand or store a credit card. vCita is HIPAA compliant, whichi s a huge relief, although I found out HIPAA compliance is only relevent if you deal with insurance companies, which I don't.
Through emails over two weeks, Kylee K. has patiently answered all of my questions. With every answer, she has shown me how much vCita can actually do, how flexible it is, and how customizable it is. I am going to be advertising and launching in the next few weeks and I am confident that if I have problems, they shouldn't be with vCita.
Pros
Easy to use, great customer support, and the articles for explaining things actually explain them, so you don't have to google it even after getting an answer.
The things I asked about that they didn't have, Kylee gave me the link to a features suggestion forum for users and encouraged me to list the features there. She also invited me to beta test for an AWeber integration, so I would assume that asking about your email marketing provider would be a good way to let their development team know which ones to make API's for first.
Cons
The only email marketing integration is Mailchimp and I have AWeber. This is annoying, but not a deal breaker.
There is not two factor authentication for admin and users. I don't know that two factor authentication would be useful for clients, but I would really like this for account holders and anyone who can else who would be using it on the emplyee side.
There is no way to sort clients by date since last appointment, appointment type, or anything else.

No-brainer for appointment based business
I provide business management consulting for optometrists. All my work is done through appointments and email. vCita flawlessly syncs my calendar and allows clients to schedule when I'm actually available. Prior to vCita, I spent way too much time suggesting times, getting voicemails, etc. Besides that, they have done a great job of allowing a feature-rich "live-site" that is easy to set up and super customizable. I think for many businesses it would suffice to be the landing page.
Pros
Very simple appointment set-ups. Before vCita there was a ton of back and other emails, or worse than that - phone calls.
Cons
The invoicing/billing system is not as robust as some other programs out there. Specifically I would like the program to send out regular monthly retainer billing.

My Business Runs on vCita
Scheduling interviews with businesses in different time zones used to be a nightmare before I found vCita. Now, I am confident I'll never miss a call thanks to vCita sending notifications to both parties in our respective time zones.

The vCita Team is very responsive and open to new feature requests. All it took was a suggestion of making directions to a client's location accessible through the app and they made it a one-click solution! Because the app works across different devices, I can run my business from anywhere.

I'm ready to delve into their email campaign feature and see it integrates with Constant Contact. Having more auto-responder integrations would be great.

This tool has been my number one go-to resource for lead generation. In my business, contact is king. Giving clients and potential clients an easy way to access my calendar, and set up a time to talk, is a central part of my business model. I wish that there was a link from email on iPhone to the actual software (app). An email link pops open the browser, and asks me to login. For some reason, my browser doesn't remember that Vcita and I have been dating for quite some time, and it asks me to login. Which causes me to open the app. Not sure if this is an iPhone issue, or an operator error, but I don't like the extra steps to confirm an appointment.

Pros
Vcita offers many great features. I was eager to user the software because it truly is an all in one business management software. It offers payment collections that can be linked to my paypal and stripe accounts. It also allows my business to schedule appointments integrated via my google account.

Although the features are worth it, The almost $60 price point is simply not feasible for my business at this time. The free trial however was a nice introduction to how Vcita can a improve my business.

Worst customer service
From sales to support, they have the worst customer relations team I’ve ever seen. They approve every question you ask during the sale, but after purchase, they claim that the approved topics were not accurate. Weeks after starting the membership, they schedule installation appointments. When I try to cancel an application I can’t use, they stall to avoid refunding the money

Best Thing For Small Businesses
Overall, this has been a dream come true. Even if my assistant quit today, Vicita could do 95% of her work if I just set everything up properly. Clients like it, and it keeps me from having to dig through inbox emails for communications. Everything is in one easy place.

It made me not need an assistant for the first few years in business. It also makes training my new assistant simple. It is a magnificent platform that allows me to schedule appts, manage clients, send out mass email, accept payments, AND communicate with clients. I can take notes on each client call, I can share and receive documents. Everything I need is in here.
Cons
The only thing I wish it had was a more robust accounting system. If there was a direct way to integrate Wave and Vcita I would be so grateful. I also dislike how difficult it is to download several files ar once when a client sends you several images or pages.

Setting Up for Your Business - Not easy at all!
It has been a pretty frustrating experience trying to get this running smoothly. I have spent SEVERAL hours/days trying to figure out glitches, workarounds, etc. I don't feel it's the right product for my company. I do plan to switch to another platform that will work better for my needs. I know they have tried, but I only get short timeframes to work with them and then I have to schedule another appointment. I would have rather paid a lot more money upfront to have them work on it until it was perfect. I have now given up because I'm just tired of it.

I love the way it looks on my website. I am able to use the colors of my logo, etc. so it looks professional. I think customers like to be able to book on the spot. I think it's nice that I can approve each event. It helps me from doing back and forth phone calls. I like that it gets integrated with my gmail calendars that are shared with the employees.
Cons
It is taking FOREVER to figure out how to set things up to streamline for my personalized business needs. Not sure this is the best platform for my business. I don't like how "wordy" it is in my gmail calendar. I wish I could customize things more, like addresses for instant. It requires them to put an address in, but it is not integrated to ensure it is a true address. We have gone to the wrong location multiple times. I have multiple services w/ 2 separate trucks. I find myself having to try to do a lot of workarounds that don't go well for the customers.I wish it was easier to use with Quickbooks. You can do a one-time sync but then it only syncs if customers get sent an invoice, and only a few details get synced over to Quickbooks. My CRMs don't match.

Get it!
Vcita has seriously freed up so much of my time with the automation and client portal. Now the client no longer have to call for a copy of their documents, they can just login and grab

vcita review for Knights Chamber
Good enough where I am still using your service. Experienced some issues over the years but most have been resolved rather quickly, I think I had maybe a 2-3 day outage once in 2020 but I do understand things happen.
Pros
I really like how the appointment setting process work and also how clean it looks on my site. This is pretty much the main use for your platform. Most customers seem to be able to figure out using the appointment setting feature so decent UI, not everyone can use it but honestly after speaking with them I dont know if those people could even send an email if they had too.
Cons
I am paying about 2.5 times what was when I first started using your service. When speaking with customer service they said it was because all these other things were added. Many of the items added since I started working with your company I do not use or have any plan too. A plan suited to my use would be more ideal. In regards to operation this something I contacted support for in the last couple of months, but when syncing to my calendar it loads 3 very long urls which make it hard view info as easily on a mobile device which is mostly where everyone here views the appointment. Ideally some sort of URL shortener should be added to clean up the calendar notes. Here is a sample from my cal and what your service put in.The mobile add is very slow to load and navigate.

The perfect solution for Service Professionals and small businesses
Overall our experience with vCita has been great. They add a lot of features that are in line with the current temperature of the market and they support their releases with webinars and training calls. It is nice to have training available for new release feature especially when those items are not at a cost so it doesn't feel like a sales pitch in disguise.
Pros
vCita has a lot to offer small businesses and service providers. Great for booking, communication, and client management. Works exceptionally well in industries where email communication is not the norm. Lawn care, salons, medical offices (has levels with HIPPA compliance), Axe throwing bars (reservations and waiver completion).
Cons
This solution would be perfect for solo entrepreneurs if they could lockdown being a legitimate email enabled system. As is it does everything a small business or single consultant needs except its painful to get clients to use the client portal once they have had a single email communication with you.

Vcita Review Transcend Company
Overall, the Vcita team takes care of their customers, they listen and they are helpful. I truly believe they do not shy away from what could improve the product. I would be great to see their engineering team increase in compacity to provide some customer wish list items

Excellent Software - lousy service
If you never have to deal with their customer service and they never go down, I love the program and would recommend it from that perspective. Its a clean design and offers me all I need at a good price point. I've been a customer for 5 years and I really want to keep using them but I just can't afford to be down as often as I am. Customer service makes a business and Vcita is just so lacking in customer service, it is so disappointing. I don't want to spend hours on end finding a replacement program but after being down 3 times in less than 2 years I am getting tired of fighting with their people to take ownership and fix their issues. My plug in from them runs on Wordpress. When you can't fix the Vcita plugin for Wordpress in 6 weeks I think you've got some bigger problems.
Pros
Vcita drives all of my business. I get all of my prospects and sample coaching sessions through Vcita. It is the life blood of my business. The pop up widget on my website is the driving force, the scheduler is easy to use and I like the CRM for tracking appointments, correspondence and client information. The price is very reasonable at around $140 USD a year.
Cons
THEIR LACK OF CUSTOMER SERVICE!!! As I said they are the life blood of my business but this is the 3rd time in less than 2 years my pop up is not working and neither is the scheduler. For over 6 weeks now! No Vcita no business for me. They have no live support, I've hated this from day 1. Email only. And they often take days on end to reply. I am so tired of "our developers are working on it but no ETA." Then why are you charging me!

I Love Vcita for Small Business!
Excellent!
Pros
This by far is the best user-friendly platform I have seen and implemented. I have used several types of CRMs over the years, but this works by far the best for me and what I am doing. I refuse to change!
Cons
Like everything there is always room to grow or for improvement, but Vcita has so many apps and integrations it made it so simple to create and implement almost immediately, hardly much of learning curve at all! Vcita now has their own CC processing if you don't have one set up already with paypal, stripe or square. the only drawback is they don't batch right away and can take few days to see in account, but if that's no big deal, then Vcita is the way to go!

At first I absolutely loved it. The separate calendar has made it especially difficult and currently the sink is not working, so I am not able to see you on calendar in any place. This is created major problems for my business.
Pros
I like how you can customize different meetings with a lot of detail. The user experience overall is pretty good.
Cons
The sync snd recurring Meeting functionality needs work. If it doesn’t work all the time then we can’t rely on it. I really don’t like the fact that we have to have a separate for vcita feed rather than feeding into our Google calendar like it used to. It has added a lot of complexity to our end.
