Happy Reftab Customer

I have had a great experience with Reftab so far. Set up was easy with user friendly UI and support documents. The import tools were extremely helpful and the support team was phenomenal in helping answer questions and troubleshoot our Okta connections.

Pros

Okta SaaS Discovery is a game changer, we no longer need to manually checkout & checkin any applications assigned to users via Okta. Additionally, the reporting offers more 'out of the box' features than I've seen in other asset management tools.

Cons

I wish Kits could be used to assign licenses in bulk. We have installed & non-Okta licenses that fall outside the scope of Okta SaaS Discovery. If we could create kits to assign licenses used by specific departments, this would greatly reduce the remaining manual assignments.

Review

A few things still need some more work, such as offering more ways to automate would be great, some more complex automation would be great like, "If the loan is XYZ and the user is Disabled email Manager (Insert body of the email and allow response) My company is really looking to automate as much as we can so being able to do more complex things in Reftab and make a more friendly API to use (have had some issues with trying to make things work, for example, the API will work fine on one call, I will change one thing and it no longer authenticates.)

Pros

The integration and automation, I would like more of these.

Cons

Manual management can be tricky to use, I would love a cleaner/more streamlined way for things that can not be managed via integrations.

Reftab Review

Overall Reftab has been a five star product. Very easy and simple to use. If you aren't able to figure a task out they have helpful documents explaining each process step by step or customer service is very responsive and friendly to work with.

Pros

Easy to understand and use. This software is very simple and straight forward and very customizable.

Cons

You can't change the fields in the LDAP sync to custom fields such as Screen size etc.
If importing machines you can't have the asset status set to in stock automatically. Which means you have to go to each asset and change the status manually. You can make a Workflow Automation that changes the asset status automatically for any new asset added after creation.

RefTab - asset / equipment management education

We are quite early I our go live, but RefTab have been outstanding in their responsiveness and willingness to work with us to provide a product we can use.
Any issues or questions have been dealt with promptly.

Pros

The adaptability / configurability of the platform.
The pricing structure is simple and easily tracked.
The team are excellent, welcoming feedback and considering adaptations if possible.

Cons

The app is not focused the way we want it, but this is our specific use case. We will be reviewing its use again and hoping to be able to utilise it in the future. In the meantime, the portal works well for our users.

Reftab is making my IT life easier!

Very positive. Customer service was very helpful and knowledgeable. Asset creation was a breeze, and I enjoy using the interface.

Easy to use, clean and fast interface, mobile app allows for asset signing and tagging in the field.

Cons

I'm looking forward to more integrations. Some of the integration tutorials were outdated. Some UI customization would be nice, like themes or a dark mode.

Best Program on the Market

The experience with Reftab has been fantastic, from the program to the management team. Everyone has been so helpful and flexible to tailor the program to work best for us. I would recommend this program to anyone who is looking to track all their assets have automated reports sent out.

Pros

The user interface is simple and easy to work with. Made it so much easier to locate assets that have been signed out to employees and track the usage. It was an easy transition for employees to start using the program and the training aspect was fast and easy. Reporting is fantastic by getting notifications of who has not turned in something.

Cons

I don’t have any Cons on the software because if I do find something missing the Reftab team is always available to try to find a way to get us what we are looking for.

Great asses management tool

It has been great. I tested several products before picking this one and I made the right choice.

Pros

The ability to track anything as an asset, and link accessories to the asset.

Cons

So far none. The only downside was exporting the computers from my RMM tool with user accounts there wasnt a way I could find to import to Reftab with the user. I had to manually assign all of the assets. Just time consuming but not a big deal.

Currently we just want to know which employee has which piece of equipment - haven't progressed to barcodes - it is achieving our low level requirement wonderfully. customisation superior.

Pros

Stellar Customer Support

From the trial period to full implementation, we really have had a good experience. This system has vastly reduced the number of individual tasks we used to complete at each checkout and has helped to streamline and improve customer experience. I have reached out on approximately 4-5 occasions with questions and have always had a quick response time, with a solution to my question every time. We are about 4 months into our switch and I am satisfied with the solution for our campus.

Pros

The price of this software is definitely a win. We were previously using multiple home-built applications to fill this need. Moving from a home built to purchased application always comes down to value for the money.
The Customer Support has been prompt, friendly, and efficient. I have reached out a few times and have had near-immediate response times.
New features have become available since implementing this solution. I have seen options that I have inquired about implemented in the last 4 months. Impressive.
The setup and ease of use are paramount. We have a high turn over of student workers utilizing and learning to use this system. They caught on to this application so much faster than the multiple applications we were previously using that the training time has basically paid for the program already!

Cons

I wish the reporting features were as easy to navigate as checkouts are. They do not run in a way that is as intuitive to me. Especially when attempting to refine data into smaller increments.

Automatic emails are great, and reduce the amount of individual notifications I need to send, but they could do with a slight improvement. There are terms coded into the auto emails to pull things like due date, asset name, or borrower name but not every email forms have the same terms. When I modified the email template the first time I removed some of those terms, and then could not remember exactly how they were worded to get them back. The support team has been great at quickly responding to emails to and providing fixes for any issues I have reported, but a 'cheat sheet' or about automatic emails section with the terms that can be used would be very useful.

Easy asset management

We have been able to move our asset loan system from a very messy shared google calendar system to Reftab, it has reduced individual workload and enabled more independence in making planning choices for asset loans across our organisation. We have also been able to significantly grow the amount of assets that we have available for loan as the management and tracking of the items is a lot more efficient.

Pros

The software makes it extremely easy for multiple users to be able to log in and see what assets are available to be loaned and make reservations for them as required.

We were looking for a solution that would allow many users to access the information centrally and this does it beautifully.

Cons

The pre-determined access levels are the most challenging with the software, but we have found ways to work around this. We can't easily set access to specific sections and views, as this is a bit limited.

Any issues or improvements we have, we make suggestions to the team at Reftab, and if they think it is beneficial, will roll out the change in an update to accommodate the request.

Reftab saves a lot of time for asset management

There was a feature missing that impacted our workflow, I emailed support and that feature was implemented within a couple of weeks. This has been our continual experience with Reftab, amazing customer support and an all around great product.

Pros

Ease of use, ease of setup and the integrations. We have been abysmal at keeping our assets up-to-date, but with the integrations in Reftab a lot of our mistakes have been alleviated by the sync from Jamf and Intune. The auto checkout of assets has helped us keep up on equipment.

Cons

The mobile app would be nice if we used barcodes, but because of remote workforce now-a-days we do not put barcode/asset tags on equipment. If would be nice if the mobile app was able to OCR a pic of the serial number, but it's not a deal breaker in the slightest.

Fast, Simple & Effective

Has been a joy to integrate with our IdP and MDMs, we managed to quickly build some really powerful integrations and automations using Reftab's workflow & webhook features. Looking forward to see what they do next.

Good user interface, newer inventory management software

We are really happy we went with Reftab. Our strategy was to pick a smaller product with more room to grow. I feel Reftab is early in their product lifecycle, and their staff is motivated to grow and add more features. This is the kind of company and product we like to work with.

Pros

Reftab seems like a newer, slightly smaller company product, and it does everything we need it to do. Price is competitive, coming in a little lower than some other products. Reftab doesn't have some of the bloat or feature creep in other more mature inventory management solutions. The support team is very responsive to inquiries, and they even developed some small features we suggested, saying those features made sense for the whole user base.

Accurate, intuitive

Cons

The simplicity of the software has lots of pluses if you like simplicity, but it may lack some of the more niche features in the larger, more mature products. On rare occasions it throws an error, but the errors are handled and displayed in the UI in a way which makes sense.

Customizable & Versatile!

We are realizing greater tool accountability, which is vitally important in the aviation industry.

This software adapted well to fit our needs in organizing our tool crib. I liked how we could create kits combining any amount of assets and accessories, and create fields to store types of data. Nicely designed.

Flirted with alternatives, but Reftab is worth sticking with

I really believe that this service should be as well known as the most popular solutions, and it really deserves to be.

Pros

Quite simply, the developers are so responsive, that issues and suggestions are acted upon and that makes such a difference to the product today. The flexibility of fields and categories means that it could fit all possible use cases. The self service portal is really handy and user friendly. Settings are plentiful so you can get things as close as you can to how you want it. It's simple, yet powerful and has so so much potential. We were looking at the better known alternatives whilst testing reftab as there were a few niggles and add-on which should be as part of the standard package (when compared to competitors) but this is all resolved and I'm really glad we stuck by it.

Cons

Reporting is a little lacklustre, it is basically a filter and that's about it. It would be good to see formatted, client friendly reports, as well as checkout receipts, packing lists, hire terms and other handy supplementary paperwork.
The accessories feature could do with a bit of TLC as it feels like there is a lot of potential, but doesn't quite integrate with the rest of the ecosystem properly yet. I think the logo looks like a push chair!

Just right

Reftab is just what I needed to help us track our equipment as we regularly check things in and out to students. Each of the different instructors can know exactly where the equipment is as well.

Pros

I can check out our school equipment to students seamlessly with the app on my phone or on my computer. I can also track and run reports regarding the status of the equipment. This is just what our program needed at a great price.

Cons

The UI of the app and the desktop version would greatly improve the product.

Inventory Management Lifesaver!

Pros

Reftab is incredibly easy to setup, implement, use, and customize but the most standout feature of this product is the impeccable customer service. Lightning fast responses and willingness to implement fixes for our edge use cases among other great support has earned our loyalty!

Cons

Reftab is geared toward assets that will be checked in/out while we use it as a way to manage customer assets that we've deployed in a permanent fashion so there have been some workarounds that we've had to implement, but the software tracking that's included more than makes up for any slight inconvenience. We're managing/tracking our certificates easier than ever with Reftab, too.

Great Product & outstanding customer service!!

My overall experience has been great. We have used other systems in the past and they clashed with our systems or became over complicated to update.
I feel confident that Reftab have got this covered.
Recently I had an issue that was resolved very quickly and professionally.

Pros

It was easy to set up with the support team helping me, when I got stuck they were always quick to resolve any issues.
I find it easy to use and run reports. They are always developing and trying to improve.
We don't use it to its full potential yet but I am confident that in the future we will.
Its a great product in my opinion as I like to keep things simple to make life easier.

Cons

There is not much I don't like to be honest.
I sometimes find it frustrating when trying to look items up but that is more down to me not using it enough.

Reftab review for medical outreach

RefTab is a plug and play option for companies wanting more control over their asset management. It was simple to understand and onboard our team. I highly recommend the trial option for anyone who wants to try out this option. It's very intuitive.

Pros

We started using RefTab to help support the development of our humanitarian trips and found it to be a critical key to increasing our capacity. The ease of onboarding was a #1 priority and I was able to search for everything I needed to set up. The import functions were also very, very easy to use and helped tremendously.

Cons

I don't have any cons at the moment. We did not pay for the highest level so maintenance options are slim. I would like more of that.

Great ITAM solution

Pros

Reftab was super easy to setup and get going. Once the initial setup was done, Education on using Reftab was simple and easy so we were able to get up and running very quickly. Use of the smart phone app makes keeping track of our assets simple, very well done app!

Cons

the only Con I can think of is that it would be nice if Reftab had an asset "tag" we could attach to "non-connected" devices such as TVs as a way for it to automaticilly update, like the installed agent does for Windows devices

Solid product at a great price point

Reftab has been one of the best products we've implemented at Lexer. Super simple to set up, we primarily use Reftab to keep track of our laptop hardware and its overall lifecycle within the business. Reftab comes with a robust set of reporting tools and integrations. Well worth the price point

Great software

Pros

Very easy to use and implement. It's made a major difference in tracking our various assets into and out of our facility.

-Automated email reminders are great and definitely drive the assets back on time.
-The printer agnostic feature is really nice too as we already had label stock and thermal printers
-Identifying assets that need repair is great and so easy for the team to keep up with

Cons

So far so good!

It would be great if there were other industry specific versions. In our case an integration with our POS system. It would allow us to assign assets while building delivery routes. In our business there are times that an asset is left at a delivery location. It would be great to track that.

Good Value for the Money and has just the right amount of features for our business

While I did encounter a decent number of problems during the initial set up and deployment the product support is responsive and you will not wait around for a response. The bugs that I did find were either taken care of within a couple of days or an estimate was given as to when we could expect a fix.

Pros

There are so many ways in which we use the system. We have adapted multiple processes to fit Reftab. It has become one of the most important tools I use. We were there in the early days before the site became as feature rich as it is today and we are pleased to say we stuck around. Quality Product at a Reasonable Price

Being able to track all assets, accessories, and consumables throughout our organization has been a game changer and will help us eliminate each department having their own spreadsheets for tracking which employees have what.

Pros

It's easy to use and reasonably priced. The fact that it can track assets, accessories, consumables, and licenses in an easy way with the ability to grant users access only to what they should be able to see was a deciding factor in selecting Reftab over other competitors.

Cons

The lack of report customization and the inability to filter accessories from consumables.

We save time and money because of Reftab

Every time I have had a question, or issue trying to do accomplish something with the software, the help has been very prompt, and helpful.

Pros

We are a cleaning company, we use Reftab to track our vacuums, mop poles, caddies, etc. Lots of low cost items, but hard to keep track of. Easy to leave at jobsites. This has been huge in keeping our assets. WE have seen a savings from not having to rebuy lost items. The software is comprehensive enough we also use it to provide asset lists for taxes as well. The software can track your item locations, you can add picture of the items, the cost and date of purchase as well as track how long you had it till it was disposed off. The reports let you know who and how many times the item has been checked out.

Cons

The two issues we had with the software was the inability to change asset numbers and the printing of tags was complicated system. Both of these have been upgraded making the software even easier to use.

Reftab in a quickly changing environment

Every time we had ideas for features, the developers have been very responsive, very quick to apply them (or mention why it's not possible when that was the case). Reftab has been super flexible and very prone to help our business. We definitely have a before and after Reftab in term of quality of asset tracking.

Pros

Reftab made it so much easier for us to adapt to the ever changing environment of our studio and constant movement of assets between desks or employees. It perfectly scaled to our studios worldwide, and allowed us to maintain standards between our studios.

Cons

There is not much to not like about Reftab. We haven't used the customer portal since it's not very well suited for our kind of environment (where IT has a closer control on assets and accessories), but this doesn't mean I wouldn't recommend it.

Reftab is awesome

I needed to find a solution to manage checkout hardware for staff and students. Anything from laptops to slide rulers. I checked into several options. Some free, some where the startup cost was over $5K. When I found Reftab, I was sold right away. It was so easy to get setup and it covered everything I needed.

But then, there's the tech support and customer service aspect. Wholly cow, the Reftab team is on it!!! I've run into a few cases where I could use a feature. I submitted my use case and OMG, they developed it and implemented it. Now, if I asked for something that no one would use, mileage could vary, but they respond quickly and really seem to understand my needs as a customer. The product is great, but the support is what really sold me!

Pros

Reftab is really intuitive. I setup my first instance without needing any support and barely glancing at the documentation. I had a fully functioning demo running with assets and testing check in check out in about an hour of signing up for a demo account. The mobile app adds to that intuitive use.

Cons

I wish I could tie printing inventory labels to my Dymo labelwriter and use a label template to print more customized intentory labels right from the Dymo.

OK... I haven't asked if that was possible, yet.

Great New Asset Management Tool

I'd started w/ Reftab as a cloud based asset management tool for tracking and managing electric vehicle charging stations. I've also used Device42 then Insight by Riada as competing products because had developed integrations with Jira Cloud and Jira Service Desk Cloud for our task and service ticket management. Reftab continued to develop their product and has now integrated with Jira. Nice! The cost/month is currently less than 50% of the monthly subscription cost for competing products and the functionality and customer service are truly excellent for our asset tracking and management needs.

Top Notch Asset Tracking !!!

Increased efficiency in tool tracking, maintenance, and deployment into the field. We typically inventory tools every 6 months. this makes the process a breeze.

Pros

Fantastic so far!

From the first point of contact, Reftab have been amazing. I have been in contact with Mike, who I believe to be one of the founders of the software. Personally I find that amazing that we have contact with a founder, who is really able to give me all the answers I need directly without going through long support terminals like with other software programs.

Mike has been extremely helpful with the setup of our account - always replying very quickly to emails.
Although we are only just (slowly) starting to use Reftab, everything about it is great so far & it works really well.
Due to an extremely busy work schedule, we have not been able to push its limits just yet, but so far, so good.

Thanks to the Reftab team for all the help so far!

Pros

- The check-in /out feature is really simple to use
- almost everything is modifiable & customisable

Cons

The mobile app lacks the option to edit details / barcodes for Accessories, which from an Office Supply Management POV, is important as it allows me to work from my mobile when adding / editing stock.

The request portal (to my knowledge) does not allow for indefinite loans of accessories OR assets, which could be useful for us at least. It also does not yet allow requests for consumable accessories, which again, could be useful for us.
