WebPT Review by Physical Therapy clinic

I use WebPT daily because I get authorization for the patients that are doing Physical Therapy in our clinic. I review the notes and use the information to submit my authorization requests. We see approximately 20-30 patients a day so I'm looking over a lot of WebPT therapy notes.

Pros

It has very clear templates and it's easy to find information. The records are very easy for even a layperson to understand, but thorough enough that the insurance companies easily provide authorization for services. Even when we need to have a substitute from an agency they are able to plug the information into the note and keep to the format we are used to thanks to WebPT

Cons

I don't like that it costs money to integrate each aspect separately, we currently have an account you can't use for billing. I also can't see the calendar view so if the name of a patient is misspelled it's hard to pull up their account.

Meets All Your PT Needs

Over all it was a good experience. I would not be opposed to using it again.

Pros

Web PT made documentation needs easy and direct even for those new to charting. The templets available to craft notes and documentation requirements is better than other platforms used.

Cons

I did not like that the Thera bill feature was not all in one platform. Although the two are linked is not very convenient to use another web-based system to submit claims.

Will never recommend it to anyone

My experience with WebPT has been challenging, particularly due to issues with their customer service. While their product itself is decent, the constant turnover in staff led to a lack of consistency in communication. Over our three years with them, we encountered multiple billing errors that went unresolved, resulting in financial losses for our business.

Additionally, there were issues with their billing process. Despite providing our credit card for monthly payments, they failed to charge it for several months without notifying us. When they eventually realized their mistake, they demanded a substantial lump sum payment without offering a reasonable payment plan. It took numerous frustrating calls and hours on hold to finally establish a payment arrangement, only to find that our payments were not being properly credited to our account.

Despite ongoing attempts to resolve these issues, including stopping payments while awaiting resolution, we received no notice before they abruptly discontinued their services. Their mistakes and lack of accountability have significantly impacted our business, leading to unnecessary stress and financial strain. Furthermore, their decision to send our account to collections was unwarranted and further exacerbated the situation. Overall, the lack of professionalism and accountability from WebPT has severely affected our trust in their services.

WebPT Review

My experience has been good overall with a few things to complain about, but overall it's a good experience.

Pros

I like the ease of use of WebPT. I like the non-contract nature (month to month basis). I like how professional the documentation looks.

Cons

I don't like the adding physician feature and adding insurance feature. It's not as fluid as I would like. I also don't like that at times discharged cases show up upon logging in under a client's name if they have multiple cases on file. I called WebPT to try to address this so that only the current case pulls up first so that we don't have to toggle back to current from a discharged case, but that was to no avail as no one was able to get me an answer. I don't like that patient's cannot book their own appointment's through a public portal.

I started with WebPT and almost switched to another software; however, WebPT had a simpler way to use their services without long term costly commitment. We are a very small, but growing practice so I needed that continued "small" status relationship where I can discontinue as I please without contracts -- much needed since busy is not guaranteed especially at our small size (5 current clients only).

Warning about WebPT!

Pros

The scheduling feature and automatic reminder texts/emails.

Cons

The connection between their partner software (Theraplatform) often omit superbills, so unless you're comparing them both daily, you won't end up submitting all of your claims. This results in missing revenue. When you try to switch clearinghouse companies, they turn off your connection to the original clearinghouse prematurely and piecemeal tasks you need to do before they will start a new connection. This results in very delayed revenue. They are very slow to respond while you sit around and wait for a connection to be made.

Easy access to information

We solve issues with documentation. We can produce patient charts to patients or agencies that need them quickly. It has been a boon for this reason!

Pros

The product is easy to use and integrates almost seamlessly with Therabill. Additionally, having all patient information in one application versus many is ideal to providing the patient the best possible care.

Cons

Sometimes the reminders do not get sent to patient and following updates WebPT is sometimes down for significant time.

Great PT EMR

Works well for what I need. Reminds me when progress notes are coming due even though I don’t use the scheduling part of the product, keeps track of plan or care dates and ability to customize is just flexible enough without getting overly complicated.

Pros

Responsiveness to assistance and updating product based on feedback.

Cons

1- Previous measures do not carry over into new progress notes in SOAP 2.02-SOAP 2.0 documents print out/ fax layout takes up too much space and pages. 3- No option to email or securely send documents other than fax.

Basic EMR/EHR

Pros

I appreciate the templates for various special tests/exams for PT, making it easier to document data for tests during an eval, progress note, and discharge.

Cons

I wish WebPT had a smart phrase/list feature like Epic has to auto-populate a phrase or list by typing in a shortcut to make documenting more efficient.

An EMR riddled with bugs and the worst customer service experience ever

On a scale of 0-10, I would give it a 1/10.

Pros

Its user interface was fairly easy to use.

Cons

The customer service experience was the area of greatest frustration. They have an on-line chat option that is really only useful for answering frequently asked technical questions. Where there is a major problem with a customers account, they have no authority or power to help correct the situation. When you call and get one of their "member services" rep, it's the same experience. My issue had to do with my transition from WebPT to Prompt. I had been a long time WebPT customer. As I grew and needed functionality out of WebPT that they did not offer, I began looking around for other EMR companies. After settling on Prompt I immediately informed my client success manager that my plan for transitioning from WebPT to Prompt. I informed him that I would remove all but 1 therapist license from WebPT and Therabill so I could continue to work my accounts receivable. This notification came 6 weeks prior to when I needed the change to take place. On [sensitive content hidden] I was over charged by $7,000. I called immediately and requested a refund. I was told I could not speak with anyone from accounting at that time and that a member services rep would reach out to me. I continued to call and email over the next 4 weeks and didn't get my refund. Finally, after reaching out to [sensitive content hidden] on LinkedIn I was connected with someone that helped me get my refund. Now on a separate issue I am experiencing the same run a round.

Beyond their horrible customer services, they have some serious flaws in their software. Their reporting and KPI features are seriously flawed and give in accurate information. Their POC report is seriously flawed. Therabill's billing reports are lacking sophistication and basic functions of a billing software. I used their "Reach" software for years for their google review generator and had minimal success. In 1 month with Prompt I have gotten more review on google than I did in years with WebPT.

DO NOT WASTE YOUR TIME OR MONEY WITH WEBPT.

PT documentation

Overall, I am pleased with the product- more so the support that the team provides with current compliance in the documentation software an the support of the Executive team in training of rehab issues. Lately the phone support, chat support and email support have been slow- but like many other companies, staff is likely the main issue.

The calendar and scheduling options are easy to use.

The daily write ups are ok, I wish we could customize the options and simplify the write ups a bit more.

Not pleased with the product for past three years.

I liked it was easy to use as a PT. I orginally liked how I was assigned a go to person to help with our account. That ended in 2019.

Cons

therabill is difficult to use, carryover from webpt is not as smooth as it should be, over priced, poor customer service. I liked the costomer service from using it from 2010 to 2019. Ever since covid the costomer is terrible in response time, getting a hold of and helping.

Good at some things. Bad at some things. Could be the best.

The documentation is fairly quick and efficient, however, it could be improved.

Pros

WebPT is easy to use and document. The HEP is a good adjunct.

Cons

The developers are slow to address known issues and have increase price citing that they have had to make updates. They have devoted significant resources to ensuring that they meet DEI requirements while neglecting issues that impact patient care.

I like webpt but i would like it to be more malleable to other specialties like occupational therapy.

I like that i can verify benefits for the insurances from patients. I also like some of the emr features.

Cons

I am not able to add in assessments other than using the custom assessment section. I would like to manually enter my own assessments so that it will be easier to create my notes.

Not a fan

Fair. It’s better than some systems but overall I don’t like it.

Administration

From a therapist prospective, it is easy to use but there are cons.

Pros

Therapists say it is easy to use. You may scan documents into the program for storage which is helpful. The ability to have a 'comment section' that therapist see when seeing a patient is nice. You can put a unique comment regarding the payer here such as X insurance does not allow X treatment

Cons

Reports are pitiful. We have to do so much manual work to see what we need to see. Also compliance is very lacking. For example, some insurance contracts allow us to bill the 8 minute rule by unique cpt code per CPT rules (not Medicare/Federal programs which have more restrictive rules with total time Trump). For these commercial contracts if a provider does 12 minutes of 97140, 12 minutes of 97110 and 12 minutes of 97112 we can bill 3 units even through the total time is only 36 minutes. (Please take a Gwenda seminar for all the documentation to show in certain circumstances where this is allowed for non-Medicare non-Federal payers). In order to handle this scenario in WebPT, you must shut off all over-site. If you shut off all over-site, things get crazy. For example, if a therapist accidently logs 30 units instead of 30 minutes, WebPT will now not notify you. The only way to proof before billing to see how many minutes is assigned to each cpt code is to open each an every note and look. There is NO REPORT or billing log that will tell you how many minutes are assigned to each cpt code. That is why I spend 8 hours every two weeks opening each and every note for specific payers to see if units are assigned correctly. I commonly find 22 minutes of 97140 where the therapist assigned 2 units to this. This is overbilling and I have to manually open each note to catch it. Other major software out there can easily handle this scenario. Also, the system will not give cancel/no show rates per each unique provider. We have to manually do this. Also, we can run a great report for Medicare but not for any other payers. For example our state has a unique requirement for rehab agencies in which we have to do recerts more frequently than required by Medicare. We can run a report for Medicare to help track when they are due, but there is not the option to run this same report for other payers in addition to Medicare. It's very frustrating that our info is in there but we can't report on it. In retrospect we wish we would have went with Clinicient, BMS or something else.

Maybe I'm just unlucky

It is nice to look at, visually appealing and seems to have a lot of features that could make for an excellent platform but as a single clinician practice, it has been nothing but headaches since I started about 7 months ago. It was easy to use since I used it at a previous clinic. This would be a review for both webpt and therabill. I think they got to the party early and have excellent marketing, however there have been so many issues and time wasted fixing their errors. Actively looking for other options.

Cons

- WebPT recently switched clearing houses from Office Ally to Availity and I was assured it would be a seamless transition. None of my charges were going through due to EDI errors. No one knew what was happening so they had me complete the change over early. I filled out all forms several times because apparently there is no communication in this organization. Constant phone calls/emails stating I needed to complete forms I already completed. Called and after a 45-minute wait no answers, just do the forms again or call the insurance companies. I could not submit charges for one MONTH. That is crushing for a startup practice. Turns out they never sent me the emails with instructions on what to change in their bill on my end. So I got an apology, great
- Upon setting up my account Webpt put the incorrect clinic info (phone number and fax) on all outgoing faxes. For 3 months I was wondering why I never got POC returned until a doctor called personally and asked for my fax # because everything was getting kicked back.
- More recently entire notes won't load (charges are missing, portions of notes) After submitting a ticket they say it is because 1)my internet is too slow (it's about 5x their recommended speeds) 2) I have too many windows open (apparently the scheduler and a documentation note are too many) and 3) I'm not completing the notes fast enough, so, start from scratch and do an evaluation again.

Webpt for ParkerPT

We have loved the product that is why we considered expanding services with billing. The ease of access and management of the data is great.

Pros

The best feature initial was the ability to house all medical record information in one spot. No more paper was another great benefit. This freed up so much office space helps in keeping information confidential. We don't have to worry about archival or record disposal any more. We also loves how this product was created specifically for Physical Therapy. It made setup and use so easy.

Cons

I wish billing was available when we began using and now when we looked into the process was so cumbersome and difficult to find the time to implement. We have given up. The information requested was about providing insurance company information, why can't you pull this from WebPT?? Maybe have on-boarding meeting where you collect the information to setup billing. Seemed like we were required to do all the work to setup and who has time like that when running a business. There has to be an easier way.

Web PT review

This system is wonderful. We love it. It's detailed and can get a little tedious but is progressively improving.

Pros

A detailed, thorough system. User friendly, once you get used to where every thing is. Can be accessed anywhere which is huge, as people prefer different forms of documentation (phone, ipad, lap top, etc.)

Cons

Not geared as well for cash-only clinics regarding. Oftentimes we have patients pay for packages of sessions, and it's hard to divide the payments as they use up their sessions in terms of creating superbills for them. We have to manually input the charges each time, which is time consuming. Payments are located under particular cases, which is great, but a "full summary" of all payments would be appreciated so we can completely monitor, as we also have a chiropractor using the system and we will work together, treating the same patient in the same day. This makes payment tracking complicated sometimes when we have to look back. Also the software doesn't prepare superbills that can directly be sent to patients, so we end up having to manually create them ourselves too. We will store credit card numbers for patients who prefer it, and there isn't an easy way to do this either. This could all be better for the direction health care is going (out-of-network, cash only, etc.).

If there was a way to make the calendar more effective like adding daily or weekly notes to it, without it interfering with scheduling, or ways to distinguish various lunch/open/close times during the week, that would make things look more organized as well!

Creating customized HIPAA compliant email/intake forms, consent forms, or any general form that we upload and then send to people through webPT, where they can sign on computers and send back directly into their account would be AMAZING. Any way where they can make their profile with medical history would be great, like a portal.

I like the software and believe it is very user friendly

Pros

That it tracks most compliance and outcome measures without us having to cue staff or send out reminders to be within medicare guidelines. I think if they work out the bugs in the functional outcomes scoring that this will be a huge asset but right now it is too early and difficult to appropriately capture data.

Cons

The customer service just basically responds to all questions (if they respond) with "we will look into this" then asks "please rate our service today," and very often never addresses the responses and blows off the doctoral educated therapists as if the glitches in the system couldn't possibly be flaws of WebPT

We LOVE WebPT!

Pros

You can use it from your phone or at home easily and it is very intuitive. It forces you to follow documentation guidelines so you are always compliant.

Cons

It's not always easy to get in touch with customer service, which was really only an issue when we were switching over from one EMR to WebPT

Decent EMR for PT's

But I would recommend web PT for any outpatient clinic. I wouldn't recommend it for any acute or neural base clinic because the documentation needed for those settings is much more detailed than outpatient.

Pros

I have used this EMR system for over a year at the outpatient clinic where I work. I feel like the system is very easy and user-friendly compared to other EMR systems. Documenting is more manageable and doesn't feel tedious compared to other EMR systems is straightforward.

Cons

There is definitely a learning curve regarding using web PT. Yes, it is user-friendly, but there are little things that take some time to get used to it and that you may need to contact support to get the hang of.
