Once you learn it, it feels like home!

While it is has taken some time to learn to how to create and customize according to our needs, I now feel it quite simple to handle our accounting and reporting.

Pros

Remote access to our books and allows me to provide access to my accountant and board treasurer. Reports are easy to produce. Entering and classifying transactions is simple now that I know the software.

Cons

It would be great if the nonprofit version would default to the proper statement names such as Statement of Activities (for P/L) and Statement of Financial Position (for Balance Sheet).

QB still remains the Boss of Accounting Software Systems!

I am enjoying using the online version and look forward to all the incentives for bringing and setting up clients, like revenue share and affiliate commissions. QB still remains the easiest and most valued bookkeeping software that I will recommend. There are video tutorials for literally everything.

Pros

I love how everything updates automatically for the client when entering as the accountant. Bank reconciliations are an absolute breeze as well when you link bank accounts.

Cons

I miss being able to use the standard shortcuts that are available with the desktop version making things easier to keep your hands on the keyboard for faster entry. I am learning a few alternatives though as I go.

Simple yet Effective - Can do what you need

Very happy with QBO - We were using QBO and switched to Sage Intacct. Now integrating with other platforms is ridiculously expensive, nothing is intuitive, and we are strongly considering going back to QBO.

Pros

Very easy to use. Intuitive. And lots of google answers if you need help.

Cons

Not a lot to not like. Is user friendly and can't find anything bad to say

Horrendous Program

QuickBooks Online is horrendous. The system is slow to do anything, it seems every task takes longer than QuickBooks Desktop. It takes days to process payments; keep being told a "glitch" that flags EVERY payment as suspicious. Clients are getting angry it takes so long to process payments. The system cannot handle the size of the payments going through; although only a few clients pay by credit card, the ones that do is disastrous. We will be canceling the payments add-on. I am trying to get ALL my clients off QuickBooks online and to go to a different program.

Pros

The only positive it is not ties to one computer and can be accessed anywhere

Cons

The system takes too many steps to do a task, it does not receive payments effectively from clients. The customer service is absolutely useless and does not care about anything.

The Industry Standard

QB Online is an excellent app. Of the different accounting software I've used as a bookkeeper, this is my favorite.

Pros

Easy to use, intuitive, has lots of plugins and features, and the AI/intuition of the app to guess the category for new transactions works pretty well

Cons

Not really a con, but it doesn't work the best for fund accounting (I work in the nonprofit sector with designated funds).

QBO Expensive but Efficient for Well-Trained Bookkeepers

Overall, QBO is an efficient product and a well-trained bookkeeper could scale tremendously with this cloud based software. However, if you're new, you're going to get confused about the various levels of subscriptions. What new service will be behind a new paywall in the future?

Pros

QBO is pretty simple for the most part. There are advanced features available in the advanced version, but the simplicity remains true with a double-entry accounting system. Bank Feeds are absolutely great if used correctly. App Integration is plentiful.

Cons

We could not make QBO fit our construction workflows in the way we used them in Enterprise Desktop. Jobs and Items do not behave the same way. In addition, the costs feel expensive on a per-entity basis. Very expensive. Right now it makes more sense to pay a one-time fee for QuickBooks Desktop and have as many companies as you want.

QB Online Great for Beginners

Overall QB online is a cost-effective, user-friendly system which I will continue to use as our business grows. For reference, we have grown to multiple seven figures in revenue and will not be leaving QB anytime soon!

Pros

I have been using QB online since I first started our business in 2018 as a complete beginner. QB online has quite an intuitive interface and an excellent customer support service as needed. The online forums are also well answered so you can look things up as you need.

Cons

The mobile app does not allow you to access any payroll features. Also, there are times when the automatic banking download feed does not work correctly and you need manually enter any missed transactions. Lastly, they recently changed to being charged per employee at each payroll run, so if you have staff which are away, or part time workers, you have to manually change their status each payroll run so as to not get charged - this is a new change and a nuisance.

Reasons for Switching to QuickBooks Online

QBO is a game changer!

Overall, QuickBooks Online has been a game changer. It takes so much of the stress out of bookkeeping. Clients love how it frees up their time, automates processes, and simplifies tax prep. It’s easy to use once you’re up and running, and the ability to see exactly where your money is going with clear reports makes managing a business way less overwhelming. For me, it’s an essential tool I recommend to almost everyone.

Pros

The automation is a lifesaver. It pulls in bank transactions automatically, which means no more manual data entry. The ability to attach receipts directly to expenses is a huge bonus too, especially when it’s time for taxes. Everything’s in one place, and the reports are quick to run, giving a clear snapshot of your business whenever you need it.

Cons

The learning curve can be a bit steep at first, especially if you’re moving from Excel or another system. Some clients have felt a little overwhelmed getting everything set up, but once you’re past that, it’s really smooth. Also, the pricing can feel high for small businesses just starting out, especially if you add on extra features like payroll.

Alternatives Considered

Xero

Reasons for Switching to QuickBooks Online

We considered Xero, but went with QuickBooks Online because it’s just easier to use for clients who aren’t accountants. The payroll features are more streamlined, and the support in Canada is better, which makes a big difference. Plus, the automatic bank feeds save a lot of time, and everything just feels more intuitive.

QBO - Useful for Small Business

QBO is good, and I think that it's a great option for pretty much any small business. The price is very affordable and if you're willing to manage your books yourself it is well worth it.

Pros

QBO is able to do everything that a business needs. Once you set it up right, everything becomes easy and quick. You can handle any part of accounting or bookkeeping using QBO just like the older QuickBooks desktop. The integration that it provides with other apps and banking, etc. is great.

Cons

Well QuickBooks Online is definitely designed with smaller businesses in mind. The idea that Intuit seemed to be going for is that a business can have all they need for a monthly fee. The desktop version can be more expensive, but if you can pay, you will have all you need and could likely have it forever.

Other than that, sometimes QBO is a little bit 'laggy', but nothing that should cause resentment!

Using QBO

The benefit we have is that we can work with our clients on their accounts without having to go to their office or for them to drop a laptop into us. This means we can keep an eye on the accounts and provide assistance as and when it is required.

Pros

The interface is easy to use and the software is quick to set up for a new business. The support and help features are very good - this is something that many suppliers fall down on badly. QBO has features for businesses of all sizes so as they grow and analysis of the accounts becomes more important the tools are there, ready and waiting. The recent update of the VAT accounting to handle VAT in Ireland is a game changer. We have been very impressed with the data conversion facility to import records from Quickbooks desktop software to QBO. Finally, being an online product means the software is always up to date, there is a proper back up of the records and 24/7 access to the accounts are all key benefits.

Cons

For a small or new business with no familiarity with accounting the initial interface can be daunting. There are a lot of terms to become familiar with.

Alternatives Considered

Sage 50cloud Accounting, Big Red Cloud and Xero

Reasons for Switching to QuickBooks Online

We believe QBO is a good option for larger and growing businesses because of the more sophisticated features it offers over, say, SURF or Big Red Cloud. The fact that Intuit is a very large company gives users comfort in terms of support and future development of the software.

Overall my experience with QuickBooks online has been very positive. The pricing is fair. The system has incredible capability, and keeps all of our financial affairs in order.

Pros

I don’t think we would be able to run our business without QuickBooks. This software has allowed us to handle all aspects of accounting in-house. The best part is the help section which contains answers to just about any accounting questions we have ever run into.

Cons

Best for billing clients based on project time

The overall experience of time tracking really depends on specific need and how well it fits into existing workflow. Quickbooks Online has afforded a great experience and I have had consistent billing for repetitive tasks albeit with slight modifications.

Pros

I use Quickbooks Online for personal work and expense tracking. Most of my projects are billed time on time spent on the project proportionately with the overall project. I struggled in trying to workout this kind of billing with several other accounting softwares and Excel templates became a bit limiting for me. Time tracking in Quickbooks is very helpful especially for tracking time spent on different tasks and projects. With the customizable timer feature, I am able to customize the timer to fit each specific task, include additional notes and descriptions for each entry documenting the nature of the processes involved etc. The time tracking feature is available as well on a mobile app which easily allows to track time on the go. Finally, the customizable reports allows me to see how much time I have spent on different task and how much I have invoiced for that time.

Cons

I think the main challenges I have found with the time tracking has been sometimes getting the billing accuracy. This has been because all the tracking is not that automated meaning any simple error can go unnoticed and affect the overall billing. Additionally, it is not highly customizable to fit almost all projects and sometimes I am forced to use other tools to manage the project.

The top-rated accounting program for SMBs!

Since I'm also an accountant and bookkeeper for a few other small firms, I use it for their payroll and financial records as well. Regularly, I utilize the whole software for my company's payroll, time tracking, and accounting needs. To streamline accounting, I recommend that all of my customers switch to QuickBooks.

Pros

All of our financial records, including bookkeeping, accounting, payroll, and budgeting, are maintained in QuickBooks Online. The program's principal user is me, but I've also sent copies to the company's grant writer, accountant, treasurer, and auditor.

Cons

Cleaning up the books is a fantastic idea in theory, but the execution fell well short of expectations. It would have been better if they had questioned my role in the organization more thoroughly before making the changes.

No support whatsoever

Abysmal. We've experienced too many bugs, and they lost our payroll data with no resolution in sight.

Pros

It has most of the features we need, and doesn't feel like a compromise compared to a desktop app. It's initially easy to set-up and use.

Cons

It's extremely buggy, and the support is non-existent. Modules stop working entirely, like the whole payroll system, and it can take weeks or months before the issue is resolved. Think about that for a second.

Their support is horrendous; they do not call back when they say they will, and will never let you speak with a supervisor or anyone who could possibly escalate your ticket. Every time you call back, you're starting from scratch; The bottom-line is, when something goes wrong, no one is ever held accountable, and you are on your own.

Also note that the US and Canadian instances are a completely different product, and so it's difficult to find 3rd party plugins that work with your geographical region.

Accounting at your fingertips anywere

My experience with Quickbooks online has been mostly positive. I find the best thing is that I can just pull up the software on the web, or in the app on my phone and take care of business while I am out on the road doing service calls.

Pros

I like that I can access my information while I am out on the road. It's also a bonus that it integrates with my ticking software so that I can just export the information from that and it syncs right into Quickbooks online. I also depend on the ability to input and scan expense receipts so that I don't have to do it when I get home.

Cons

The price is a little hard to swallow when coming from the desktop version of Quickbooks for so many years. Also there are some features that is in the Desktop version that hasn't been implemented yet.

Alternatives Considered

Reasons for Choosing QuickBooks Online

I made the switch to Quickbooks online to help with not having to come back to the office after a long day and still have to input stuff into the desktop software. Now I can just go home with peace that the information is already there.

I chose Quickbooks Online over the alternatives because it was supported by my other software as well as I was familiar with Quickbooks desktop already.

Tradegecko is great software and always getting better

Overall it solves most of the business issues and overall we're happy with the product and with Tradegecko

Pros

Ease of use, integrations, API, user interface, company responsiveness to build features if I made a solid case for lacking functionality, customization of documents, Tradegecko connect workflow builder, aesthetic, simplicity, etc.

Cons

Some of the (new) reporting functions, lack of features like credit limits, no dropdowns in custom fields, Tradegecko connect is stagnant and no new workflow options being added we need more triggers and flow options) , inability to add custom attributes by category, lack of flexibility in creating packsizes (it's only possible to enter a single unit and create a packsize my multiplying it but it's impossible to add a case and break it up to units (wholesalers typically buy and sell by the case and occasionally break up cases), the way packsizes appear in reports ('case' vs the SKU #), the lack of synchronization between POs and items (it requires a item to be MANUALLY linked linked to a PO) and if PO is not linked to a backordered item, any backordered sales order will not be AUTOMATICALLY linked to a PO (a list of possible POs appear even for FULLFILLED items!), limited filtering on options in the inventory area it would be nice to have options like 'does not have this tag' etc), see history for product bundles (formerly composite variants) and not only the history for the actual bundled variant SKU, one has to click on fulfill orders to see still unfulfilled items on a sales order and can't see it on the sales order, it's impossible to see the associated orders that are committed, ordered but not fulfilled and shipped on a variant or product page (it doesn't show up on the history tab and it's not linkable from the committed information in the stock info area)

Complicated

Overall I would say QuickBooks is more of a software made for people who don't know much about accounting. In that sense I would say it is very user friendly for those people. However when you put an accountant in front of this software my first questions were: "Where is accounts payable?" "Where is accounts receivable?" "Where is the general ledger?" These things just aren't marked that way. My first confusion was entering in invoices. Now usually this would be an expense but if you enter it in as an expense in QB it's really accounts receivable and you'll have to enter it in as a bill. Also one of the most confusing parts is keeping up with daily reports. Now I do understand that not every type of business needs to be doing this but in the hospitality business this is a requirement. This software makes it very easy to skip past a day and do other days and it will constantly change the "number" you had named the previous day. I find this slightly annoying and confusing. Sometimes I just don't remember what day I am on or what day I am missing simply because I can skip forward days (which can be nice). My overall opinion is slightly indifferent I would honestly rather only work with M3 only because QB runs slow. I think if it ran more smoothly I think I wouldn't mind working with it but it gives me a headache of how long stuff needs to load and get errors because it can't load all my properties at once.

Pros

What I liked most about this software was that you can connect the bank account to the property. This way it makes managing money and bank recons so much easier and faster. I also enjoy that I can easily delete and edit invoices or journal entries. This is sometimes a con as well. It all depends on if you know you won't accidentally click on something you shouldn't. I also like that I can easily enter in invoices and other things just by clicking on the + button.

Cons

My least favorite thing about this software is that the longer it is up the slower it gets for me. I am not sure if this is just my problem but we do also use M3 (another accounting system) and it never slows down for me no matter how long it is up for or what I'm doing. Of course it will take some time to load your first selection but runs super smoothly after. I am very disappointed at how slow this software runs for me. I am also not a huge fan of the layout of invoices and checks written. Looks slightly disorganized in my view.

Looks good from the outside but crap under the hood

Pros

The software has some decent functionality in the inventory syncing between sales channels and purchase orders, product creation. But this would be a pretty expensive option for just inventory syncing.

Cons

Where to start... The back end reporting is the worst I have ever come across in any system. You cant run any type of clear order reporting, my accountants (two different ones) had to manually look at each order to reconcile payments for their wholesale module because there is no proper order reporting. When you ask TradeGecko about any gaps in reporting or any other lack of functionality they ask you to 'submit a feature request'. I submitted 11 of them over 1 year and have not heard back on any of them. Toerh negatives: You can not enter in any custom shipping amounts in the system. You can not enter in a ship to address when creating a new order for any drop ship orders, you have to go in a create a whole new customer in a different section of the system then go back into the order just to use a 1 time shipping address. You can't print or even export your inventory count reconciliation report... I have to take screenshots and then paste to excel just so I can have a report to investigate from... and these are just a few of the major gaps with this system. The support is worse that the gaps, there is no one to call you can only email them and it often takes weeks before you get a response and often the only response you get is to 'submit a feature request'. Save your money but more importantly save you time and look for another option.

This product was easy to use , it was easy implemented and integrated within my store. I feel that it has so many useful tools for your business as well as critical and vital tools for a business to operate successfully and cost effieciently aswell as cost effectively.
It is so simple to have a software that integrates to all your devices, it runs your payroll automatically as you set it , it facilitates tax compliance so there is no need to stress at year end as with this software you are well organized and your documentation is on hand ready to file. Being able to jus use your mobile phone to upload receipts and make invoices is another perk as we all know that although a mobile phone would not replace a computer it is just as efficient as one in any ways in todays tech driven environment. The cloud experience is also safe and secure there is no need to worry about data being compromised by malfunctions or any other reasons like theft and having no back up data. The user interface is friendly which is admirable.

Cons

This software is user friendly however like any other software a person needs to familiarize themselves with the software before becoming affluent with the software it needs to be learnt like any other software , t does have training so if you on the slow side with IT software you might have to spend some time learning the software but once you do it becomes a breeze. There is training links to assist with aspects we would like to learn , support is widely offered as the company is a stable established firm you know you would be getting value in that aspect.
I do not have any cons …
I do believe that more reports could be introduced to the online version and a increase in inventory management as this could work well for larger businesses.

Horrible Updates!

I used to say I "love" QuickBooks. Now it's safe to say I "hate" it. I have considered switching software systems and taking all my clients elsewhere. I keep saying that if QuickBooks wants to migrate users from Desktop, they need to make Online more like Desktop. That couldn't be further from the changes they're making. Do they make these changes without holding focus groups? Honestly, do you even care about your users anymore?

Pros

I love the ease of signing on to QuickBooks Online from anywhere. My clients email me questions and I can answer them right away. I can also work from anywhere, which is great!

Cons

Recently (2023), QuickBooks Online development team have been making a lot of physical changes to the program that are HORRIBLE! I hate every change they've made this year. You can tell the developers do not use the program on a daily basis. And worse yet, when they implement a change, it glitches terribly and it takes them months to fix it. A lot of the changes make it harder to do my job by adding steps/clicks to performing tasks that weren't there before. A lot of the windows are also not seemless/ aligned like they used to be - not everything is lined up on the same gridline. Most people use the program on their laptops and you can tell they're making it more for desktop in that the pages are too wide/big and don't fit on your computer screen. However, when I use the program on my desktop screen, I have the same issues. There are boxes where there didn't used to be and don't need to be. It makes me feel like they're going backwards in technology and not forward. A lot of the features are not Intuitive... as the name suggests they should be.

Missing essential features

Since we subscribed to their service, only one of the requested features were implemented. We had 3 accounts in three different countries - one with manufacturing and wholesale and two with wholesale only. The manufacturing unit we already switched back to Unleashed as it was a real nightmare. Others will migrate to another solution once the annual subscription will expire.... If you have a manufacturing and import procedures which involves multi currency use, i strongly recommend to think twice and perform a complete trial before buying their subscription..

Pros

Easy to set up even for non-advanced users. Web interface. Support staff is quite good and responsive.

Cons

Impossible to use other than products purchase currency for landed costs. Packing slip (packing list) doesnt show the total weight of the shipping. One has to use the calculator to add this value manually by pen to the end of the weight column. No choice to download the documents in different formats, except long procedure via automation, which is an absolute waste of time. If you have multiple accounts, you cant switch between them in the mobile app. Even after logout and re-login. Sometimes you even have troubles to print invoices. Two pages invoice is being printed on 8-9 pages, because the gaps between the lines are huge. They blame Google Chrome, and suggest using other browsers, but it doesn't help. Since i subscribed to their service, only one of the requested features were implemented. We had 3 different accounts in different countries - wholesale in two of them and manufacturing one. The manufacturing unit we already switched back to Unleashed as it was a nightmare. If strongly recommend with we cant wait to close this cooperation.

I rarely write bad reviews but Quickbooks Online is over-the-top bad

I am highly disappointed and frustrated with Quickbooks Online after switching after 15 years using Quickbooks Desktop. 1) the transfer from one to the other was fraught with errors that have been far reaching and expensive to resolve 2) QB Online is slow and cumbersome. 3) It is incapable of tracking hours by class which we were counting on 4) the screens are very inefficient with the way space is used which causes the need for extra scrolling and loading (which as I said is very slow) 5) it is way over priced for small businesses 6) every "improvement" seems to be in the form of a new app that one has to pay a lot more for 7) basically they are nickle and diming small businesses to death. After 1 1/2 years with QB online I kept thinking it would improve and there has not been one improvement despite submitting complaints and recommendations for improvement. We have decided that we will switch to another company as soon as we have time to make this transition.

Pros

It is accounting software. That we can use an app to export sales from our online store to Quickbooks.

Cons

Very slow to load pages which is why I am finally bothering to write a review right now because I am trying to enter timesheets and I am waiting for each page to load. This happens all of the time. The interface is not intuitive. There is no class tracking for employee hours which is hampering our ability to run reports and do business planning. Our business was with Quickbooks desktop for 15 years and we were very happy with it. We switched to Quickbooks Online thinking that this was an upgrade but it is a huge down grade plus we are pay much more for the online version. The process of switching was literally catastrophic. Much of our payroll and tax data did not transfer correctly. We spent over 200 hours correcting problems. We would solve one problem only to discover another. These problems also meant that we had unknowingly submitted incorrect tax forms that then had to be amended and submitted. It is 1 1/2 years later and we are still discovering errors that occurred during the switch. Quickbooks Online customer service was not helpful/useful at all when it came to fixing these problems. Additionally, instead of improving the problems with the existing program (the timesheets for example), QB came out with a new time timetracking app (T sheets) that you have to pay a lot of additional money for. At this point it seems like a total rip off for a small business. As the owner, I have had to deal with all of these problems - we are going switch as soon as I have time.

Basic plan

- Add additional languages: dutch / french / german
- Make own translations / rename possible (example: products and variants being able to change/rename or translate to own choice)
- Tradegecko support: receive an email confirmation when opening a new ticket or replying in a ticket. Only replies by tradegecko are email notified. I, for example, open the same ticket 3 times in a row as it disappeared after a couple of minutes with any feedback = it appears that the support team moved the ticket for further investigation and there for it was disappearing in my account (MY ACTIVITIES)

Pros

Fast and reliable website / webportal = cloud based
Ipad app
Intelligence functions
Magento connection
Had a problem with the Magento stock status, took a while to explain, understand and proceed but an adjustment by the tech team saved us = so big ups for standing open for malfunctions/adjustments!

Cons

- Limited magento connection: not fully supported (tax class / discounts / excl tax price / visibility setting / categories)
- 3PL Exporter: sales invoices = 5 templates available but not 1 of them contains all data. For European law we need to extract a monthly overview of all the invoices included company name/company number / total price/tax price / tax class. In order te get this data I need to export basic and quickbooks template and then mix 2 complex CSV files... Would be an improvement to provide an template that contains all data of provide custom template on request.
- branding & identity: limited invoice text = Terms and Conditions?
- branding & identity: there is no preview function to see the different Document Specific Settings when making an adjustment
- inventory products: import new products = not able to include the re-order points (CSV) = manually editing afterwards
- inventory products: update existing products = not able to change the re-order points in bulk (CSV)
- inventory products: bulk actions = there is no publish to magento feature (publish to underlaying variants)
- inventory variants: there are no selection boxes at the left (like with the products) = not possible to bulk edit variants / publish to magento / publish to B2B
- B2B eCommerce Platform not available for the basic plan, why does it show up in the menu left and in the product edit/bulk edit screens?

Don't Use Quickbooks Checking

While Quickbooks is a solid booking-keeping service, I'm finding quite a few not-so-great points.

1. They are constantly trying to sell to you. Even when you already have a paid subscription. All you see are Ads and get promotional emails.

2. For those of you considering using Quick Book Checking- Don't do it. It just leads to more frustration than the 1% interest is worth. (Linking an external trusted bank account works just fine).

Quickbooks checking sounded like a good idea, because hey.. why not have everything consolidated right? Wrong.

First off- You can't send money to people without first upgrading to their Bill Pay option. (A feature that comes free with other business banking accounts)

Second- Your debit card gets declined continuously, and getting a hold of customer service is a pain. And when you do, it's hard to understand them, because they don't speak clear English. I was trying to pay invoices- and I couldn't because my card was getting declined. (I had PLENTY of money in there to make these payments) When calling Customer service, after 45 minutes on the phone with them- I had to get switched over to an actual Green Dot Bank representative. Who told me the problem was resolved, and that my card was getting declined for "Protection". Yet... no indication was made letting me know that. Normally other banks send a notification asking if you're attempting to make a transaction...Not this account. They just leave you in the dark. No notifications. No Text Mes

Pros

Quickbooks is a solid bookkeeping service- I'm finding quite a few not-so-great points. Please see my "Describe your overall experience" comment.

Cons

The Customer service is seriously lacking. And Quickbooks Checking is terrible.
